Importing participants from a distribution network
Importing participants into your management space is a task that Wilout wanted to make it as simple as possible. So she designed a simplified import system for participant lists coming from several vending machines major players in the online ticketing market (Digitick, Fnac, FranceBillet and Ticketmaster).
If you sell through a distributor not mentioned above, you can still perform this procedure by simply downloading the Wilout CSV template and by acting manually on the latter.
We will detail below the steps to follow to easily perform this manipulation:
Export participants
Go to the administrator interface of the distribution network for which you want to export the participants.
Since the latter, you export your e-tickets.
Download the Wilout template
In order to re-import your participants into your Wilout space, you must download the template from this same management interface.
Build your file
The Wilout template consists of 7 columns:
- Participant name
- Participant's first name
- Participant email address
- Bar code
- Tariff name
- E-ticket price
- Additional Information
It is imperative to respect the order above, including in the case where one of the columns does not have data entered. As far as the “bar code” column is concerned, it must be filled with alphanumeric data, only.
You can add as many additional columns as you want after the “additional information-1" column using the format below:
You then have to save your file in the format”.csv” (separator: semicolon) and do not reopen it before its final import. Indeed, reopening the document via Excel after its initial registration can lead to a change in the layout of the columns and therefore in its proper integration.
Importing participants
- Go to your Wilout back office to finish.
Select your event > Click on the “participants” tab > Click on “import a list”). - Drag and drop your file or download it.
- Your imported participant list is displayed directly in “Your uploaded lists”
- Remember to click on “Import” to finalize the operation. Your participants are now fully integrated into the Wilout interface.
In the end, it is interesting to see how easily it is possible for an organizer working with several distributors to integrate all of its lists of participants into its Wilout management space.
